This Privacy Policy explains how MENTIUS LTD, trading as LearningChief (“LearningChief”, “we”, “us”, or “our”) collects, uses, stores, and shares personal data when you use our website, application, worksheet generation toolkit, AI handwriting marking tools, progress dashboards, and subscription features (the “Service”).

We are the controller of your personal data for the purposes described in this Privacy Policy. If you do not agree with this Privacy Policy, you should not use the Service.

MENTIUS LTD does not currently process personal data at a scale or in a manner that requires the appointment of a Data Protection Officer under UK GDPR. All data protection queries should be directed to support@learningchief.com.

2. Data We Collect

  • 2.1 Account and Identity Data: Name, parent email address, login credentials or authentication identifiers, subscription status, and communication preferences.
  • 2.2 Student Profile Inputs (Optional): Parents may voluntarily create child profiles inside their dashboard to track progress. This is restricted to a first name or nickname, age, and academic year group. Parents should only enter information they are comfortable providing.
  • 2.3 Uploaded Worksheet Images: Photo snapshots of physical student work uploaded via our “Mark My Work” feature are processed specifically to extract handwriting data and return immediate AI-driven marking corrections.
  • 2.4 Payment and Subscription Data: Upgrades are handled securely via Stripe. We do not directly store full card details. We receive and view: payment status, subscription tier, billing email, transaction identifiers, and the last four digits of the payment card.
  • 2.5 Usage and Technical Data: Pages or features used, device type, browser/OS, IP address, log data, error reports, and session timestamps.
  • 2.6 AI Interaction Data: When AI toolkit features are used to generate or mark a sheet, we process the specific prompts, topic inputs, and uploaded image contexts needed to execute the request.

3. How We Collect Data

Directly from you when you build an account, create student profiles, submit images for marking, purchase a subscription, or contact support; automatically via essential cookies and localStorage; and from third-party infrastructure providers including Firebase/Google, Stripe, and our AI pipeline processors.

4. Why We Use Your Data & AI Model Training Rules

We process data to run user accounts, generate custom educational materials, provide tracking dashboards, manage billing, and debug our app.

Important AI Protection: We use aggregated, anonymized, or minimized diagnostic logs to keep our infrastructure secure. We do not use your child’s identifiable student profiles, generated worksheets, or uploaded handwriting images to train general-purpose AI models, and we explicitly prohibit our AI service providers (such as Google Gemini) from using your uploaded content to train their general-purpose models.

5. Lawful Bases (UK GDPR)

  • Contract: To deliver the core worksheet services, manage your billing account, and refresh monthly AI tokens.
  • Legitimate Interests: To debug, optimize performance, secure the application, and handle customer service issues.
  • Consent: For optional student profile entries, non-essential cookies, or explicit support requests.
  • Legal Obligation: For corporate tax, accounting, and UK regulatory compliance.

6. Who We Share Your Data With

  • Firebase / Google Cloud: For secure user authentication, application databases, and hosting infrastructure.
  • Stripe: For secure payment processing, automated monthly renewals, and invoicing.
  • Google Gemini (Google LLC): For powering our backend AI worksheet creation engine and image analysis marking.
  • Render: For backend hosting of our private AI proxy infrastructure.
  • Legal Recipients: Regulators, courts, or law enforcement bodies where strictly required by law.

We do not sell your or your children’s personal data.

7. Data Retention

  • Account Data: Maintained while active; completely deleted or permanently anonymized upon explicit account deletion requests.
  • Worksheet Logs and Images: Maintained in your account history log for parental review until you choose to delete them or close the account.
  • Billing Records: Retained for up to 6 years in accordance with UK tax regulations.
  • Support and Bug Emails: Maintained for up to 24 months following resolution.

8. Your UK GDPR Rights

Under the UK GDPR, you have the right to access your data, correct inaccuracies, request full data erasure (“the right to be forgotten”), restrict or object to certain processing, and request data portability. To exercise these rights, contact support@learningchief.com. We respond to all formal requests within 1 calendar month. You also hold the right to lodge a complaint directly with the Information Commissioner’s Office (ICO) at ico.org.uk.

9. Account & Data Deletion

Parents can permanently request total data deletion at any time via the “Delete All My Data” tool inside the app settings modal, or by reaching out to support@learningchief.com.

10. Children’s Privacy Safeguards

LearningChief is an educational platform designed for children’s learning practice, but it is strictly intended to be purchased, registered, and managed entirely by adult parents or legal guardians. We do not knowingly permit children under 18 to establish independent accounts. All data collected (such as first names or handwriting images) is managed strictly under the authorization of the parent user.

11. Advanced Security and Encryption

We use rigorous technical safeguards. Your account dashboard metadata and active profile settings are protected by Google Firebase infrastructure encryption and automated access controls.

Uploaded handwriting images and generated history assets are transmitted over secure, encrypted channels directly to our private proxy layout server to synthesize your results. MENTIUS LTD staff do not manually view or browse personal user logs or uploaded child work unless explicitly requested by you to resolve a technical support ticket.

12. Cookies and Device Storage

To keep you securely signed in, remember your layout preferences, and handle premium Stripe subscriptions safely, our platform utilizes cookies, browser localStorage, and sessionStorage (governed under PECR).

We utilize these data files strictly under two classifications:

  1. Essential Technologies: These are strictly mandatory for our educational portal to work. They validate your secure account login token and process Stripe payment checkouts. Disabling these via your browser settings will break the application layout.
  2. Analytics Technologies: We utilize Google Analytics (via Google Tag Manager) and Firebase Analytics to monitor technical performance errors, track site loading speeds, and see general usage trends. These non-essential analytics files are blocked by default and will only activate once you grant explicit consent via our cookie notification banner.

Our Primary Technical Inventory:

  • firebase:authUser (Firebase/Google) — Keeps your parent dashboard securely authenticated across tabs. Type: localStorage (Essential).
  • firebaseLocalStorage (Firebase/Google) — Persists your secure user auth token so you don’t have to re-login every time you close your browser. Type: IndexedDB (Essential).
  • _ga, _ga_* (Google Analytics) — Anonymous analytics tokens used to evaluate site visits. Type: Cookie (Analytics).
  • __stripe_mid, __stripe_sid (Stripe) — Crucial credit card fraud protection and checkout stabilization tokens. Type: Cookie (Essential).

Note: Our AI worksheet generation and image handwriting marking processes are handled entirely server-side via private API relays to Google Gemini. No third-party AI trackers, ad pixels, or commercial scraping cookies are ever downloaded onto your personal device as a result of using our AI features.

13. Changes to This Privacy Policy

We may update this policy periodically to reflect platform upgrades. Material changes will be communicated transparently via on-screen system notifications, website banners, or direct email alerts.
